Job Summary
We are seeking a highly organized, tech-savvy, and detail-oriented experienced or inexperienced Travel Agent to support a large-scale program with high-volume travel needs. This role is responsible for coordinating flight bookings, managing traveler information, and providing exceptional support to ensure smooth and efficient travel experiences.
The ideal candidate is proactive, adaptable, and comfortable working independently in a fast-paced, high-volume travel environment. This is a fully remote, part-time or full-time position with a very flexible work schedule.
Book and manage flights, accommodations, and ground transportation for both individual and large-group travel
Maintain accurate and up-to-date passenger manifests, traveler preferences, and itinerary details
Monitor itinerary changes and ensure real-time updates to traveler records
Research and compare flight options to secure optimal routes aligned with program schedules, traveler needs, and budget requirements
Partner closely with the Director of Event Services to align travel logistics with program timelines
Communication & Traveler Support
Provide timely assistance with itinerary changes, rebooking, delays, cancellations, and traveler inquiries
Communicate professionally and clearly with airlines, vendors, and internal teams
Administrative & Project Support
Maintain detailed travel trackers, spreadsheets, and documentation for reporting, reconciliation, and budget alignment
Utilize Google Sheets, Docs, Drive, and shared folders to ensure accuracy, organization, and team visibility
Operational Excellence
Ensure all travel bookings comply with company policies and budget guidelines
Track group travel blocks, manifests, and ticketing deadlines
Identify potential travel risks, escalate concerns as needed, and recommend proactive solutions
Requirements & Qualifications
Education
Associate’s or Bachelor’s degree in Hospitality, Travel & Tourism, or a related field preferred
Experience
Required: Previous experience as a Travel Coordinator or Travel Agent supporting high-volume travel operations
Strongly preferred: Experience coordinating travel for large groups
Technical Skills
Proficiency in Google Workspace (Sheets, Docs, Drive)
Strong spreadsheet skills, including sorting, filtering, formulas, and data organization
Familiarity with travel booking platforms and online travel portal
