Bookkeeper Position

Position Agreement: Bookkeeper for Askin Land and Livestock LLC-Administration

We are a growing, multi-state ranching business focused on delivering excellence in livestock and rangeland management. With operations in multiple states and high-performing foremen at each location, working with a broad leadership team, we are seeking a key team member to serve as the operational bridge between leadership and the field.

Seeking a skilled and trustworthy Full-time Bookkeeper for our multi-entity ranch operation - where accuracy, accountability, and adaptability are key. This is a hybrid position, with the majority of work conducted remotely. However, the applicant must be willing and able to meet in person at the ranch office in Jay Em, Wyoming, an average of once weekly for a day trip for onsite financial meetings and reviews.

The ideal candidate would be highly organized, patient, detail-oriented, and comfortable learning complex systems and processes. Frequent communication and follow-up is necessary to succeed in this position. This role requires close collaboration and frequent communication with our Office Administrator/Executive Assistant, as the two positions work closely together.

Experience in agricultural or ranch bookkeeping is preferred but not required. A minimum of two years of general bookkeeping/data entry experience is required. Experience in QuickBooks, Bill.com, Dext, and Microsoft Excel/Google Sheets is preferred but not required.

This is a 16-22 hour per week, hybrid/remote position. Compensation $28,000-$30,000 annually. May be combined with our other job posting (Office Administrator and Executive Assistant) into a full-time position.   • Manages: Askin Land and Livestock, Regen LLC, Rusts Rots or Depreciates LLC, Ranch-Link LLC, Askin Livestock LLC, and Sage and Faith Askin Books via Quickbooks Online and using Google Drive.
  • Reports to: CEO, CFO
Key Results Areas:
  • Accurate Bookkeeping for Multiple Entities
    • Execution: Input Data using Quickbooks Online, Coordinate with CPA, Provide Variance and other standard reports.
    • Planning: Have Tax Return Ready Books by February 15th Annually. Create Budgets for every entity by November 10th for year ahead and load into QB by January 10th. Books done by 10 of subsequent month with full reconciliation.
  • Payroll Processing, Team Member Compliance and Labor Management
    • Execution: Payroll Funded 10 days ahead of schedule and paid in a timely manner, for every entity.
    • Planning: Create Timeline and Payroll Funding Request for CFO annually with projected amounts. Create and gather W9, W2 and 1099, organize, keep current and communicate well with all employees. Keep compliant for all states and federal labor laws. Maintain all Workers Compensation policies in Good Standing. Keep Bonus, Housing, and all other compensation records with full transparency for all employees. Manage H2A employee compliance and all postings.
    • Targets: All Payroll Met on Time always. Fully Compliant in every state and federally. Workers Comp C I always current.
  • Cashflow Management-Bill Pay and Deposits
    • Execution: All Money Cashflows where it belongs, and records are kept.
    • Planning: Create System for speedy, efficient bill pay and deposits that creates seamless cashflow management and feedback where sales are needed.
    • Targets: Never late due to bills overpaid or deposits unfunded. No Bank Fees. 100% effective shrinkage on direct expenses. All deposits for livestock sales split and funded and sent back out within 72 hours to respective entities.
  • Accountability
    • Execution: Communication between all stakeholders for finances sits in this role. Keep the information flow not prohibitive of team members time but flowing to you when you need it, or before.
    • Planning: Create Culture of teamwork and effectiveness resulting in optimized efficiency. Use Bill.com, Quickbooks Pay, Dext, and other tools effectively. Create simple spreadsheets shared with needed people, and be sure money spent is tracked, coded, and bills are paid where possible.
    • Targets: All Team Members turn in all receipts and those are kept and coded in full IRS compliance. Simple Systems keep time lost below 30 seconds per transaction for records kept. No money is untracked.
